This policy explains how Short Roll Media Ltd (“Short Roll Media”, “we”, “us”) collects and uses personal information through this website, in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Last updated: September 2026.
1. Who we are

2. What we collect
When you send a booking enquiry we collect the information you provide in the form: your name, agency, email address, telephone number, property postcode, preferred shoot date, access notes and the shoot options you select (bedrooms, services and extras). We also automatically receive standard technical data, such as your IP address and browser type, whenever your device requests this page or the assets it loads, as an ordinary function of how the web works.
3. Why we use it, and our legal basis
- To reply to your enquiry and hold a shoot date: legitimate interests, and performance of a contract once a booking is confirmed.
- To issue invoices and keep accounting records: performance of a contract and compliance with our legal obligations.
- To deliver finished stills, film and vertical edits: performance of a contract.
- To keep this website secure and functioning correctly: legitimate interests.
We do not use your information for automated decision-making or profiling, and we do not use it for marketing unless you separately ask us to.
4. Who we share it with
We do not sell personal data. Your enquiry is relayed to our inbox using Web3Forms, a third-party form-delivery service. Information may otherwise be handled by service providers who host this site or store project files on our behalf, under contract and only as needed to provide our services to you.
5. International transfers
Some of the providers named above may process data outside the UK. Where that happens, we rely on the UK adequacy regulations or standard contractual clauses approved for use in the UK to make sure your information stays protected to UK standards.
6. How long we keep it
Enquiries that do not lead to a booking are deleted within 12 months. Records relating to completed work, including invoices, are kept for seven years to meet our tax and accounting obligations.
7. Cookies and similar technology
This site does not set advertising, tracking or analytics cookies, and the analytics we use does not use cookies either. It does load its own fonts, styling and scripts directly from this site's own server, so no cookie or tracking request is made to a third party by visiting this site.
8. Security
We use reasonable technical and organisational measures to protect the information you send us, including restricting who can access it and using reputable, contractually bound service providers.
9. Your rights
Under UK GDPR you have the right to ask for a copy of your data, ask us to correct or delete it, restrict or object to how we use it, and receive it in a portable format. Email us and we will respond within one month. If you are unhappy with how we have handled your information, you also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk.
10. Children
This website and our services are directed at businesses and adults. We do not knowingly collect personal information from children.
11. Changes
If this policy changes we will update the date shown at the top of this page.
